Executive Roles

Metchosin Preschool is a parent run co-operative. Member families are responsible for the administration and upkeep of the school. In order for the preschool to run smoothly & efficiently, elected caregivers fill the Executive Board. It's an excellent way to be involved with your child's school, get to know the surrounding community of Metchosin & create long lasting connections!

The following descriptions are intended as a guide to give you and idea of the responsibilities for each executive member. If you would like to contact the current Executive Board for inquiries or more information, please email:

President

  • Prepares agenda for and chairs the executive and monthly meetings 
  • Primary liaison with the ECE(s)
  • Serves in an advisory capacity only
  • Prepares and submits the gaming grant
  • Ensures all licenses and contracts are renewed
  • Oversees the total functioning of the preschool, delegating responsibility as necessary

Secretary

  • Records minutes at the monthly executive and annual general meetings
  • Types letters, thank­ yous and other miscellaneous correspondence
  • Posts minutes for signing by absentee members  
  • ​Responsible for checking executive email

Fundraising

(2 people - 1 per class)
  • Encourages suggestions from membership for fundraising ventures
  • Plans and organizes fundraising events by establishing committees and work parties as necessary to achieve the annual fundraising goal (determined by the annual budget prepared by the Treasurer)
  • Arranges for publicity of events as necessary
  • Collects monies raised and hands over to the Treasurer
  • Maintains detailed records of each fundraising event to assist future fundraisers

Vice President

  • Assists the ECE(s) to prepare a job list 
  • Helps members when necessary
  • Works with Playground cleaners to ensure playground is kept in good repair
  • Assists President and chairs meeting in her/his absence 

Treasurer

  • Prepares monthly financial statements and reports for monthly meetings
  • Works with the school’s accountant
  • Handles monthly payroll and bank statements
  • Ensures that the payroll and subsequent T4 slip(s) and tax receipts are prepared
  • Collects fees, makes deposits and disburses funds as approved and budgeted 

Enrollment & Orientation

  • Informs interested individuals of Preschool philosophy, requirements of co­-op members, fee structure, etc.  
  • Distributes & collects enrollment forms, fees and ensures enrollment packages are complete
  • Arranges various orientation sessions providing members with ample opportunity to complete the orientation requirements including:
    • Observation, 
    • Orientation workshop
    • Annual general meeting
    • Year-end get together
    • Monthly meetings
    • +more  
  • Arranges and conducts visits to preschool by prospective members

Second Vice

  • Responsible for general upkeep of the classroom
  • Responsible for tracking parent education and parent attendance of monthly meeting(s), as well as participation days
  • Maintains up to date information on website and social media platforms

Maintenance

  • Organizes and supervises periodic clean­ups (usually up to 4 per year)
  • Responsible for keeping preschool and playground equipment in good repair, organizing work parties as required
